Booking, Hire and Collaboration Agreement.

Welcome to Us On Film. By booking, hiring, or collaborating with us, you agree to the following Agreement. Please read it carefully — it explains how our kits and editing services work, what you can expect from us, and your responsibilities while the gear is in your care.

1. General

  • Us On Film provides curated camera kits for you, your guests, or collaborators to capture candid memories. We are not professional videographers or photographers — our role is to provide equipment, guidance, and editing that turns your footage into timeless keepsakes.

  • All equipment remains the property of Us On Film at all times.

  • We may update prices, descriptions, or availability without notice.

  • We reserve the right to refuse or cancel any booking or collaboration at our discretion.

2. Bookings & Payments

  • A 25% non-refundable deposit secures your booking. The balance is due 30 days before your hire date.

  • Payments are processed in NZD through Hnry or Stripe. Failure to pay on time may result in cancellation and forfeiture of your deposit.

  • Bookings may be transferred once to a new date with 30+ days’ notice, subject to availability.

  • Add-ons and keepsakes are non-refundable, as they are pre-ordered for your event.

  • For testers, UGC creators, or marketing collaborators, deposits and hire fees may be waived. Instead, you may receive compensation, free hire, or edited deliverables as agreed in writing.

3. Rental Period & Returns

  • Kits are dispatched 4–6 days before your event (or sooner with overnight shipping). South Island and rural addresses must select overnight shipping.

  • The hire period starts on delivery and ends when the kit is returned using the original packaging and prepaid return label.

  • Kits must be returned the next business day after your event. Late returns incur $50 per day unless otherwise agreed.

  • A return form is included; please complete it to confirm the kit’s condition before sending back.

4. Care & Responsibility

  • Please treat all gear as if it were your own: keep it dry, close lens caps, charge batteries, and store securely.

  • You are responsible for the kit while it is in your care. Missing or damaged items will be invoiced at replacement cost.

  • For creators/testers, responsibility for gear care still applies, even if no payment is made for hire.

5. Equipment Care, Gear Cover & Replacement Costs

Responsibility & Replacement

  • You are responsible for all equipment from the moment it arrives until it is returned and checked by us.

  • If items are lost, stolen, or returned damaged, you’ll be invoiced for replacement at current retail value.

  • As a guide, replacement costs usually start from $450 for cameras and camcorders, and from $100 for accessories, tripods, cases, or film rolls.

  • Consumables such as film, batteries, and Polaroids that are opened, used, or not returned will be charged at their current retail value.

Gear Cover (Optional Add-On)

  • Gear Cover ($99 per hire) reduces your liability for the most common event mishaps. It is an optional add-on that provides extra protection against the costs of accidental damage, loss, or repair of your kit during hire. This is charged as a one-off fee per booking and is non-refundable, even if no issues occur.

  • What’s covered:

    • Normal wear and tear (scratches, scuffs, rub marks).

    • Cosmetic blemishes (small dents, chips, faded exterior).

    • Weather exposure (light rain, dust, dampness).

    • Battery performance issues.

    • Minor packaging wear (tears or spots in cases/bags).

  • What’s not covered:

    • Missing or unreturned gear.

    • Major damage (drops, cracks, broken screens).

    • Full water or heat submersion.

    • Stains or irreversible damage to cases.

  • Gear Cover offers peace of mind, but it’s not a substitute for care. Please still handle equipment responsibly.

Return Form & Courier Liability

  • Each kit includes a return form. You must fill in your section before returning. This confirms the condition of the kit and helps ensure courier liability during transit.

  • If you don’t complete the return form, you may remain liable for loss until the kit is safely received back by us.

  • Always notify us of damage before handing the kit to the courier. Otherwise, liability remains with you until we confirm receipt.

  • While we pack carefully, we are not responsible for courier delays. If a kit is lost or damaged in transit, we’ll work with you to arrange a replacement or refund where possible.

6. Equipment & Vintage Disclaimer

  • Our kits include vintage and modern cameras and camcorders. While tested before dispatch, small quirks are part of their charm.

  • Results may vary depending on lighting, filming style, and conditions — this is part of the candid, DIY nature of our service and is not grounds for refunds.

  • If a primary camera fails due to age, we will provide a backup or offer a refund/credit if the fault is not caused by misuse.

7. Editing & Delivery

  • Record Kit: edited highlight film (if selected) + full-length “home video” within 1–2 weeks of return.

  • Flash Kit: developed 35mm scans within 1–2 weeks.

  • Snap Kit: developed digital scans within 1 week.

  • Extras (albums, prints, deliverables) delivered within 2–3 weeks.

  • Social Reels (if purchased) within 48 hours of kit return.

  • Disposable cameras as soon as purchased or alongside kit hire date.

  • To ensure your video or photos are tailored to you, you must complete our questionnaire sections before your kit is sent or at the very latest, before your kit is returned to us. If the questionnaire isn’t completed in time, we’ll make the editing and delivery choices on your behalf.

  • We do not offer revisions for editing style, music choice, or footage selection. Mistakes (e.g., names/dates) will be corrected at no cost.

  • Footage is stored for 1 week after delivery — please download and save it promptly.

For UGC creators, brand partnerships and marketing collaborators:

  • Editing may not be included unless agreed or selected. In many cases, your raw footage will be used for Us On Film’s marketing.

  • If we request polished content, you may be paid or reimbursed upon delivery of final files.

8. Cancellations & Refunds

  • Deposits are non-refundable unless cancellation is initiated by Us On Film.

  • Cancel more than 14 days before hire → deposit is retained, no further charges.

  • Cancel within 14 days of hire → full balance may still apply.

  • Refunds or revisions are only provided for clear mistakes on our part (e.g. incorrect names, spelling, dates).

  • Refunds will not be issued for:

    • Music choice or editing style.

    • Video/photo length.

    • Improper use of the cameras by you or your guests.

    • Guest filming style, weather, or lighting conditions.

  • Us On Film is not liable for any consequential losses that may arise from cancellation or rescheduling.

  • In the unlikely event that something goes wrong mid-hire (for example, cam or gear failure) and it prevents you from using your kit as intended, we reserve the right to determine the appropriate resolution. Depending on the circumstances, this may include:

    • Partial refund – returning part of what you paid to reflect the portion of the service you weren’t able to use.

    • Credit towards a future hire – applying a dollar value to your account that you can use for another booking at a later date.

    • Another fair solution – finding an alternative arrangement that works for both parties (e.g. resending a replacement kit, extending your hire, or another agreed outcome).

  • If the booked kit is unavailable, (for example, not being returned on time by a previous customer, courier booking delays or a gear malfunction before sending), we’ll provide a suitable replacement. If you choose to decline a replacement, the non-refundable 25% deposit on any kit will still apply and only the remaining balance will be refunded. Example: If deposit = $169.75, total kit = $679 → you’d lose $169.75 (the non-refundable deposit) but receive a refund of the $509.25 balance to reflect the hire and deliverables cost.

  • While we take every possible step to handle and process your footage/photos carefully, Us On Film is not liable for any loss, corruption, or damage to files once they are returned to us. In rare cases where files cannot be retrieved, we may offer a credit or partial refund at our discretion, but we cannot guarantee recovery By booking one of our retro or vintage camcorder or camera, you also acknowledge and accept the additional risks that come with using older equipment.

9. Content Use & Sharing

  • Clients retain full ownership of their raw footage and final edits.

  • By booking, you grant Us On Film a non-exclusive, royalty-free licence in perpetuity to use your content for marketing, unless you request otherwise in writing.

  • We respect your privacy and will never share anything intimate without your consent.

  • All edited videos include music and sound licensed through our professional editing and music software. This means your final edits come with a commercial license, allowing you to upload and share them freely across social media platforms, websites, and personal use without copyright issues or takedowns.

For UGC creators, testers, and marketing collaborators:

  • You grant Us On Film full permission to use any footage, photos, or content captured with our kits across social media, websites, and advertising campaigns.

  • We may tag or credit you where appropriate, but usage rights are broad, royalty-free, and ongoing.

10. Feedback & Submissions

By submitting testimonials, feedback, or creative ideas, you allow us to edit, publish, and use them without limitation or compensation. You are responsible for ensuring your submissions don’t infringe on third-party rights.

11. Liability

Since your guests or collaborators will be filming, please note:

  1. We are not responsible for missed moments, incorrect usage, or dissatisfaction with guest-shot footage.

  2. We are not liable for courier delays, wrong addresses, or missed deliveries.

  3. We are not responsible for weather, environmental, or technical issues beyond our control.

  4. We do not guarantee results will match examples on our site or social media.

  5. Our maximum liability is limited to the total amount paid under this Agreement.

  6. Us On Film is not liable for injuries, accidents, or incidents during use of our cameras, tripods, chargers, or other gear.

  7. We cannot be held responsible for consequential losses (for example, emotional distress, missed moments, loss of opportunity, or any indirect costs that may arise from lost footage or photos). Our liability is limited to providing either a credit, a partial refund, or a rehire option..

12. Exclusive Use

  • Kits are intended for personal events, milestones, and celebrations (e.g. weddings, birthdays, hens’ dos, elopements, anniversaries, parties, maternity events, weekends away).

  • Kits may not be used for:

    • Illegal, obscene, violent, or offensive content.

    • Any activity that breaches New Zealand copyright or privacy laws.

13. Governing Law

This Agreement is governed by the laws of New Zealand.

  • All payments are in New Zealand dollars (NZD).

  • Dates and times are based on New Zealand time.

14. Final Note

We’re here to make filming fun, nostalgic, and simple. Whether you’re a client booking a kit or a creator helping us showcase what we do, this Agreement make sure we’re on the same page so you can focus on what matters.
